Receptionist/Admin Assistant

We’re looking for an enthusiastic, professional, detail oriented Receptionist to join our team. You’ll be the “Director of First Impressions” for our amazing clients and talented team ensuring we have a warm, welcoming and comfortable environment to work in. Reporting to and collaborating with the Operations Manager, you will help keep our company organized and running efficiently.   • Greet and welcome clients and prospects in person and over the phone
  • Assist CEO with scheduling and light EA duties
  • Keep our office environment tidy and boardrooms polished and prepared for meetings
  • Organize celebratory lunches and events, purchase welcome gifts, event cards, gifts and treats
  • Regularly replenish office supplies, including stationery materials, snacks, beverages, cleaning supplies, etc.
  • Answer and direct phone calls
  • Collaborate with Operations Manager to help execute in various HR, benefits, and operational duties
  • Where applicable, help answer client and prospect inquiries
  • Proactively restock office supplies
  • Manage online Top Draw memberships (ex. Advertising Club of Edmonton membership)
  • Organize, order, assemble and deliver client gifts (ex. Christmas gifts)
  • Assist Top Draw’s bookkeeper with various administrative tasks
  • Coordinate catering for client meetings, internal staff meetings or “lunch and learns”
  • Coordinate/facilitate company team building activities/events (+/- every second month)
  • Manage job postings
  • Plan and organize various company/client appreciation events primarily hosted on our new mezzanine and rooftop patio
  • Manage invitation/RSVP of events we invite clients to and suggest events to attend/sponsor

Desired Skills and Experience:

  • 2+ years experience in an office administration role
  • Professional and courteous
  • Excellent familiarity with the online world, social media, etc
  • Ability to work independently and in a team environment
  • Detail-oriented
